How to Reschedule Meetings Using Smart Rescheduler in Google Calendar

Google has brought together concepts from Google Search with Google Calendar to create Smart Rescheduler. This is now a brand new function in Google Calendar Labs. Using Smart Rescheduler will help you find alternate times for meetings you need to reschedule. Google Calendar searches through the Calendars of other meeting participants (and that are shared with you) to find other times most, if not all, participants are available. This could eliminate an endless stream of emails going back and forth to try and find a time that works for everyone. Find a time Calendar says will work, and double-check with others before you book your new meeting time in just a few quick, simple, steps.

How to use Smart Rescheduler

  1. Enable Smart Rescheduler in Google Calendar Labs:
  2. Save your changes in Labs.
  3. A Smart Rescheduler box will show up on the right side of your Calendar:
  4. When you click on a meeting you need to reschedule, the meeting title will show up in the Smart Rescheduler box:
  5. Click on “Find a new time…” to have Google Calendar search for alternate times that work for everyone:

You will see time blocked off for your other participants when they are busy with other meetings or commitments. Based on this, you can find a time where everybody is available for your meeting. Of course, the amount of time you block off for a meeting will be a major factor. If you cannot find a suitable replacement time, you could consider making the meeting a bit shorter to see whether that will return more options.

Had this feature been released earlier, it would definitely have been included in the list of coolest Google Calendar gadgets. Anyone who uses Google Calendar to schedule meetings at work, or schedules family time, and shares Calendars with the people around them is going to love this new feature!
